If you wish to bring your baby to meet your colleagues, this should be arranged via your Line Manager; it is not possible to ‘drop in’ with your baby to a 麻豆社 site – all visits whilst on maternity / paternity leave must be pre-approved to allow arrangements to be organised by your Line Manager.
• Your Line Manager must complete a pre-visit request form which includes details of your visit, who you will be visiting, location, duration and any individual access needs you or your child may require in the event of an emergency. This form must be provided to the building reception prior to your arrival (for sites that do not have a reception facility, this form should be provided to the persona named on the building risk assessment who has responsibility for all people on site.)
• Upon arrival, you must sign-in and collect a visitors badge. The person you are visiting should collect you from the reception area.
• You must only visit the person / team / location detailed on the pre-visit request form.
• Your child must remain with you at all times. Do not ask a colleague to look after your child at any point.
• Upon egress, you must sign-out and return your visitors badge
Children (under the age of 18 years) who are providing a planned contribution (actor, performer, musician, invited guest) to 麻豆社 output (TV film production, radio, news interview etc) whether paid, or unpaid, or whom may have won a 麻豆社-organised competition that requires them to collect a prize/award or;
Children (under 18, or as specified in individual ticketing terms and conditions) who attend productions, shows and events at 麻豆社 sites as an audience member, whether ticketed or through general admission.
• It is important that you establish the individual needs of each child contributor prior to arrival – this includes learning disabilities or communication needs, allergy/emergency medical information and suitability to evacuate the premises in the event of an emergency.
• Children undertaking contributory activities must be registered with 麻豆社 reception (or for sites that do not have a reception facility, the person named on the building risk assessment who has responsibility for all people on site) prior to arrival by their 麻豆社 contact.
• Upon arrival, the child will be signed in and issued with a unique lanyard and visitor badge by 麻豆社 reception staff (or for sites that do not have a reception facility, the 麻豆社 contact); this lanyard and badge must be worn at all times whilst on a 麻豆社 site (with the exception of during filming when it should be handed to their supervising adult).
• The child and their supervising adult must complete the details on the back of the 麻豆社 badge (name of 麻豆社 contact, emergency contact number, details of allergies or individual needs). In the event that the child becomes separated from their supervising adult, the 麻豆社 contact listed on the back of their visitor badge should be contacted.
• The child and their supervising adult should wait in reception for collection by their 麻豆社 contact who will escort them to their designated holding area.
• Children must be accompanied at all times by an adult with parental responsibility or an adult with an enhanced criminal record check i.e. teacher, qualified support worker, or professional licensed chaperone. 麻豆社 staff should never be alone with a child (with the exception of identified staff who are acting in a ‘loco parentis’ role such as a Safeguarding Specialist or Safeguarding Point of Contact). Such individuals are subject to enhanced criminal records vetting and have undertaken advanced safeguarding training.
• Upon egress, the child and their supervising adult should be returned to 麻豆社 reception by the 麻豆社 contact; they must be signed-out and return their ID badge.
Official tours of 麻豆社 main sites are organised throughout the year by the 麻豆社 workplace event team. These tours are organised in conjunction with 麻豆社 safety, security and safeguarding teams to ensure all expected standards are met in order to comply with 麻豆社 insurance requirements.
Children are permitted to visit 麻豆社 sites as part of an externally organised visit by an education, charity or community group.
In this instance, the trip organiser must liaise with the 麻豆社 contact prior to the visit to ensure that the process is implemented:
• The trip leader must provide the 麻豆社 contact with a robust trip risk assessment which includes potential hazards, including safeguarding risks, and the associated controls to remove or minimise such risks. The 麻豆社 contact may be required to contribute to the risk assessment process in order to provide 麻豆社-specific information such as emergency procedures, first aid and location details.
• The risk assessment should be reviewed by the 麻豆社 contact to ensure the level of risk identified is proportionate and acceptable. Any access arrangements or individuals needs should be detailed on the risk assessment in order to be in place for the child’s arrival.
• In order to participate in the trip to a 麻豆社 site, the trip organiser should seek consent from each child’s parent/guardian. A record of this consent must be retained by the trip organiser.
• A list of all child names, plus their emergencies contacts, should be provided to the 麻豆社 contact prior to the arrival of the group (this can be via the ‘Child Pre-Visit Form’). A copy of this information should be left at the 麻豆社 reception in case of emergency.
• All children attending a trip at the 麻豆社 must be briefed in regards to:
o Safety requirements – emergency evacuation, lock-down etc
o Location of exits, toilets, refreshment and rest areas
o Allocated meeting point in the event a child goes missing
o Appropriate behaviour
o Taking photos/video
o How to report a concern
• Upon arrival, children and their supervising adult/s should be signed-in and provided with a child visitor lanyard and badge by the 麻豆社 reception. The 麻豆社 contact should meet the group in the reception area and introduce themselves.
• Children must be within eyeline of their identified supervisor at all times whilst on a 麻豆社 site.
Children are permitted to attend a 麻豆社 site for the purpose of small-scale planned careers or research events such as a workshop or panel event. These events are organised in conjunction with 麻豆社 safety, security and safeguarding teams to ensure all expected standards are met in order to comply with 麻豆社 insurance requirements.
For events that are exclusively for children, identified 麻豆社 staff who are in receipt of enhanced criminal record checks, and whom have undertaken advanced safeguarding training, may act in lieu of supervising adults. The 麻豆社 recommended supervision ratio for children is 1:6, however this may differ depending on the nature of the event and the individual needs of each child.
For events that include children (-18) and adults (18+) mixing together, children must be supervised by a suitable adult with parental responsibility or an adult with an enhanced criminal record check i.e. teacher, qualified support worker, or professional licensed chaperone.
In addition to the requirements for externally organised events above, each 麻豆社-organised event of this type should have:
• A designated safeguarding point of contact (SPOC) who is available to manage any low-level safeguarding concerns as they occur; the SPOC should have an enhanced criminal record check in place and have undertaken advanced safeguarding training. The SPOC will collate details of each child including emergency contact details and individual needs / access arrangements.
• A team of 麻豆社 staff who can support the SPOC in the management of child participants. At least one other 麻豆社 adult should be in receipt of an enhanced criminal records check to enable cover for the SPOC in an emergency situation, or to supervise a child who may need to leave the event space temporarily.
• Parental consent to participate from each child in attendance.
• A robust risk assessment which includes potential hazards, including safeguarding risks, and the associated controls to remove or minimise such risks.
• The risk assessment should consider travel arrangements for each child (including how they will travel to/from the 麻豆社 site), the management of ‘free time’ and any contextual safeguarding concerns relevant to the locality (a 麻豆社 safeguarding specialist can assist in identifying potential local risks).
• A programme of clearly planned, age-appropriate activities delivered by suitable adults who have at least a basic level criminal records check in place.
• For children aged 16 and 17 years old, a basic criminal records check may be requested to provide confirmation of suitability to mix with other children. In order to facilitate this process, please liaise with the 麻豆社 Data Privacy Team and the 麻豆社 Safeguarding Team.
• Designated toilet, refreshment and relaxation areas which are separate from those used by adults.
Extenuating Circumstances
For exceptions in unplanned or emergency situations i.e. where you have no childcare available due to illness, you should contact your Line Manager to agree on working arrangements such as exceptional leave or to work from home. If you need to collect or drop off equipment or resources, you should remain in reception with your child where items can be collected or dropped off by a member of your team.
Work Experience and Shadowing
The 麻豆社 has developed a programme of opportunities for young people to gain an insight into the world of the 麻豆社 via outreach sessions, planned work experience and apprenticeships. Working closely with the 麻豆社 Safeguarding Team, each element of the Early Careers pathway is carefully risk assessed to ensure young people remain safe when on a 麻豆社 site.
It is not currently possible to arrange local, ad-hoc work experience or work shadowing outside of the above official opportunities.
Whist we appreciate you may wish for your child, relative or friend's child to accompany you to your place of work, 麻豆社 insurance does not cover this activity.
